At Speakeasy Solutions, we keep your personal information private. We don’t sell it, rent it, or share it with anyone outside our organization without your permission. This page explains what we collect, why we collect it, and how we protect it.

Speakeasy Solutions Inc. is based in Canada, and our main work is providing speech recognition and digital dictation solutions. This policy covers our company and our website, speakeasysolutions.com.

Confidentiality During Remote Sessions

Because we work remotely, we often connect to your computer to install, train, or troubleshoot. We take that responsibility seriously.

  • We only access what we need to do the job at hand.
  • We treat anything we see on your screen — including any medical, legal, or personal information — as strictly confidential.
  • We don’t copy, save, or keep your files or personal information.

There is one rare exception. Occasionally, a complex technical issue needs to go to a manufacturer’s upper-tier support team. Even then, we never copy or share personal data — only the technical details needed to resolve the problem.

What We Collect

You can browse our website without telling us who you are. We only collect personal information that you choose to share, or that comes from public sources such as business websites connected to our clients.

The information we collect may include your:

  • Employer or organization
  • Address
  • Email address
  • Phone or fax number

Why We Collect It

We use your information to run our business and serve you well — specifically to:

  • Prepare estimates and invoices.
  • Supply products and services.
  • Keep your customer records up to date.
  • Send newsletters and notifications, when you’ve asked to receive them.

If we ever want to use your information for a new purpose, we’ll ask your permission first. We don’t use your personal information for anything beyond what’s described here.

Newsletters and Notifications

We send our newsletters and notifications ourselves, by direct email. We don’t hand your email address to an outside mailing company. If you’d rather not hear from us, you can opt out at any time — just let us know.

Appointment Booking

We use OnceHub to schedule appointments. When you book with us, OnceHub collects the details you provide, such as your name and email address. Their handling of that information is governed by OnceHub’s own privacy terms.

Cookies and Analytics

We keep this simple. We use very basic website analytics to understand how many people visit our site and which country they’re visiting from. That’s it. We don’t use this information to identify you personally, and we don’t build profiles about individual visitors.

Our News Page

Our news page shares helpful information, updates, and articles from us to you. We don’t host public comments, so there’s no risk of another visitor collecting your information there.

How We Protect Your Information

We’ve put security policies, rules, and technical measures in place to protect your personal information from:

  • Unauthorized access.
  • Improper use or disclosure.
  • Unauthorized changes.
  • Loss or destruction.

Anyone associated with Speakeasy Solutions who handles personal information is required to keep it confidential. We won’t disclose your information to government institutions or authorities unless the law requires it.

  • Get a copy. On request, we’ll send you a readable copy of what we hold, free of charge, within one week.
  • Correct it. If something is wrong or out of date, you can ask us to erase, correct, amend, or complete it.

In rare cases we may not be able to share certain information, but we’ll always explain why, and you’re welcome to challenge that decision.
